Terms of Service

1. Acceptance of Terms & Eligibility

Welcome to Apps4You ("we", "our", "us", or the "Service"), available at apps4you.org.uk, including its subdomains, bot services, and dashboard interfaces. By inviting our Discord bot, authorizing via Discord OAuth2, creating an application portal, or submitting an application, you enter into a legally binding agreement with Apps4You.

If you are using the Service on behalf of a Discord community, organization, or business entity, you warrant and represent that you have full legal authority to bind that entity to these Terms. If you do not agree to these Terms in their entirety, you must promptly remove the Apps4You bot from your Discord server and cease all use of our web portals.

2. Service Description & Discord API Integration

Apps4You provides a modern SaaS solution for Discord communities, enabling:

• Hosted web application portals deployed on free subdomains (*.apps4you.org.uk) and custom domain names.
• Discord OAuth2 authentication allowing Discord users to log in securely without creating separate passwords.
• Interactive candidate application builders with custom question types, role whitelists, and blacklists.
• Interactive submission logging and review cards posted directly into staff Discord channels.
• Automated role granting and automated custom direct messages (DMs) upon application approval or denial.
• Pro subscriptions unlocking extended quotas, custom bot server personas, and custom styling.

Apps4You is an independent software platform and is not affiliated with, endorsed by, or sponsored by Discord Inc. You acknowledge that all usage of Apps4You must comply with the Discord Terms of Service and the Discord Developer Policy.

3. Platform Telemetry, Usage Analytics & Public Showcase

To maintain platform performance, provide public community directories, and showcase active communities utilizing Apps4You, the service automatically collects basic operational telemetry data from connected Discord servers.

• What is Collected: Discord server ID, server name, public icon URL, approximate member count, application volume, public portal subdomain or custom domain, and Discord server invite or vanity URL (when publicly configured).
• Default Setting & Purpose: Telemetry data collection and inclusion in our public "Top Communities" directory and platform statistics is enabled by default upon adding the Apps4You bot to your Discord server. This facilitates server discovery, platform health monitoring, and aggregate growth reporting.
• Full Opt-Out Control: Server owners and authorized administrators may toggle telemetry data sharing and directory showcase OFF at any time directly through the Settings tab of their server dashboard. Opting out immediately removes the server from the public directory, leaderboard listings, and public member counts with zero interruption to your application forms or role distribution.

4. Server Administrator Responsibilities

When you configure an application portal for your Discord server:

• Data Governance: You act as the primary data controller for questions and submissions collected from your community members. You agree to collect only data necessary for your staff evaluation.
• Role Permissions: You are responsible for ensuring that the Apps4You bot holds appropriate Discord permissions (such as Manage Roles and Send Messages) in channels where you wish the bot to operate.
• Confidentiality: You agree not to disclose, share, or publish sensitive applicant responses to unauthorized third parties without the applicant's explicit prior written consent.
• Accuracy: You agree to provide valid server metadata and not impersonate other Discord servers, public figures, or brands.
• AI Overviews & API Key Encryption: Discord server administrators who activate the AI Overviews evaluation feature may supply their own third-party AI provider API key. Apps4You does not permanently store your API keys in plaintext. All provider API keys are encrypted at rest using industry-standard cryptography (AES-256 / Fernet encryption) so that not even developers or platform operators can view your raw API keys. You retain full ownership of your credentials and can update or revoke them at any time from your server dashboard.

4. Acceptable Use Policy & Prohibited Conduct

To maintain safety across all hosted portals, you agree not to use Apps4You to:

• Collect passwords, two-factor authentication tokens, credit card details, government identification numbers, or Discord tokens.
• Create phishing portals, deceptive login forms, or misleading domains that mimic legitimate brands or services.
• Distribute malware, viruses, spyware, or malicious links through application forms or automated direct messages.
• Promote hate speech, discrimination, harassment, threats of violence, non-consensual sexual content, or child sexual exploitation material.
• Circumvent or attempt to circumvent rate limits, quotas, premium license checks, or technical access barriers.
• Launch automated scraping, denial of service (DoS) attacks, or excessive load against our infrastructure or Cloudflare routing nodes.
• Host content that infringes upon copyrights, trademarks, trade secrets, or intellectual property rights of any third party.

5. Intellectual Property Rights

All software code, database structures, web designs, CSS stylesheets, brand graphics, documentation, and logos comprising Apps4You are the exclusive intellectual property of Apps4You and its licensors. You are granted a limited, revocable, non-exclusive, non-transferable license to access and use the platform in accordance with these Terms.

You retain all rights and ownership in the application questions, custom descriptions, server logos, and responses you provide. By submitting content through the Service, you grant Apps4You a worldwide, royalty-free license to store, process, display, and transmit such content solely for the purpose of operating and delivering the Service to you and your community.

6. Subscriptions, Payments & Pro Tier

Apps4You offers optional Pro subscription plans and license activation keys that unlock extended limits (such as unlimited positions, 50 questions per form, custom bot personas, custom CSS, and custom domains).

• Billing: Premium features are billed in advance on a recurring monthly or annual basis, or redeemed via valid digital license keys.
• Taxes: All fees are inclusive or exclusive of value-added tax (VAT) as indicated at checkout based on your geographic location.
• Failed Payments: If a recurring payment fails, your server's Pro features may be suspended after a grace period until payment is successfully processed.
• Refunds: Payments for digital subscriptions are governed strictly by our Refund Policy.

7. Service Availability & Modifications

We strive for 99.9% platform uptime and high performance through redundant Cloudflare edge caching and managed database clusters. However, you acknowledge that:

• The Service may occasionally be unavailable due to scheduled maintenance, system upgrades, emergency security patches, or Discord API outages beyond our control.
• We reserve the right to alter, enhance, or deprecate specific features, quotas, or endpoints with reasonable notice when possible.
• We do not guarantee uninterrupted or error-free operation, particularly during widespread Discord platform degradation.

8. Account Termination & Suspension

You may terminate your agreement with Apps4You at any time by kicking the Apps4You bot from your Discord server, disabling your portal, and requesting data deletion through our support channels.

Apps4You reserves the right to suspend or terminate your access to the Service, subdomains, and dashboard at our sole discretion, with or without notice, if we believe you have breached these Terms, violated our Acceptable Use Policy, engaged in fraudulent activities, or posed a legal or security threat to our platform or other users.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. APPS4YOU DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, TIMELY, SECURE, ACCURATE, OR ERROR-FREE, OR THAT ANY DEFECTS WILL BE IMMEDIATELY CORRECTED.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED UNDER APPLICABLE LAW, IN NO EVENT SHALL APPS4YOU, ITS DEVELOPERS, AFFILIATES, AGENTS, OR DIRECTORS BE LIABLE FOR ANY INDIRECT, PUNITIVE, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR EXEMPLARY DAMAGES, INCLUDING WITHOUT LIMITATION DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATING TO THE USE OF, OR INABILITY TO USE, THE SERVICE.

IN NO EVENT SHALL OUR TOTAL CUMULATIVE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE EXCEED THE TOTAL AMOUNT ACTUALLY PAID BY YOU TO APPS4YOU FOR THE SERVICE IN THE THREE (3) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM.

11. Indemnification

You agree to defend, indemnify, and hold harmless Apps4You, its officers, directors, contractors, and agents from and against any claims, liabilities, damages, judgments, losses, costs, or expenses (including reasonable legal fees) arising out of or resulting from your breach of these Terms, your use or misuse of the Service, your community's application forms, or any violation of third-party rights or Discord Developer policies.

12. Governing Law & Dispute Resolution

These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of England and Wales.

Before filing any legal claim or arbitration, you agree to attempt in good faith to resolve the dispute informally by reaching out to our support team via our official Discord Support Server or by emailing legal@apps4you.org.uk. Most disputes can be amicably resolved quickly through direct communication.

13. Modifications to These Terms

We may update or revise these Terms periodically to reflect changes in our technology, legal obligations, or product offerings. When material changes occur, we will update the "Last Updated" timestamp at the top of this document and provide notice via our Discord Support Server or dashboard banner. Your continued use of Apps4You after revised terms take effect constitutes full acceptance of those revisions.
